Phoenix Art Museum is looking for a part-time, temporary Archivist for the Gene and Cathie Lemon Art Research Library. This position will independently manage the inventorying, cataloging, and processing of Phoenix Art Museum’s institutional records and a wide variety of other archival materials to ensure that these unique resources are discoverable, accessible, and usable in support of the museum’s mission and purpose. This position will also have the opportunity to create connections between the Museum and community, by implementing archive related programs that will contribute to cultivating an inclusive, welcoming, and engaging environment for all.
This project-based position is funded through June 2024.
JOB DUTIES
- Oversee all elements of collection management, arrangement and description of archival materials consistent with established standards, policies and procedures to ensure ongoing preservation; This includes the review, rehousing of, and description of paper, digital, and audiovisual items.
- Evaluate the physical condition of archival materials during processing;
- Appropriate handle, rehouse, and propose conservation treatments when necessary;
- Manage the arrangement, preservation and archival processing of materials in various formats and media; Re-houses materials into archival boxes and folders;
- Create preliminary inventories and DACs compliant description for objects and collections;
- Arranges and describes materials using accepted archival principles and techniques;
- Populates ArchivesSpace with records to make the archive searchable;
- Provide support to the work of the Education department as requested by the Education Director or Librarian, to include creating programming to highlight the archival collection;
- Plan and execute rearrangement and appraisal plans;
- Record and transcribe oral histories of important figures, community members, and staff.
MINIMUM QUALIFICATIONS
- Bachelor’s degree and two (2) years’ related library experience, one (1) of which includes archive experience OR, any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.
- Current MLIS graduate students with an emphasis in archives are especially welcome to apply.
Knowledge of:
- Standard collection management, documentation, and preservation practices and procedures.
- Archival and/or collections databases and data standards.
- Foundations for digital preservation of born-digital and scanned materials.
- EAD finding aides and DACs compliant metadata.
- Museum programs and practices.
Skill and Ability to:
- Inventory, catalog, and process institutional records and a variety of archival collections, including the assessment, arrangement, description, re-housing, transport and storage, and disposal.
- Use archival management systems, Microsoft Office, electronic information systems, and Internet and email systems proficiently
- Communicate effectively and present complex ideas in a clear and compelling manner, both verbally and in writing.
- Supervise and train docents and community volunteers to assist with archival projects.
- With the Librarian, create archival related programming.
- Manage and multitask on several assignments and projects and remain highly organized and detail oriented, with persistent follow-up and an ability to handle shifting priorities with limited supervision.
