As a member of the Learning & Public Engagement team at the Heard Museum, the Learning & Public Engagement Coordinator supports the team’s efforts to organize innovative mission-based initiatives and family-focused materials for the Heard Museum. These initiatives include both family-specific programs such as Summer Saturdays, Family Days, and Holidays at the Heard and programs geared toward the general public, including First Fridays, the annual World Hoop Dancing Championship, and more. This position also plays an integral role in booking and welcoming school groups to the Heard as the main point of contact for School Group Tours. The Learning & Public Engagement Coordinator reports to both the Public Engagement Manager and the Youth & Family Engagement Manager.
Essential areas of responsibilities include, but are not limited to the following:
Program Support:
- Support the Learning & Public Engagement team members and other museum staff in the execution of mission-driven programs both during and after museum hours to engage existing audiences and build new ones.
- Coordinate the museum’s school tour bookings and logistics. This includes serving as the point of contact for educators and community partners booking museum field trips and on-site activities and coordinating internal resources for tours including scheduling docents, reserving classroom space, tracking data, supporting departmental efforts to develop learning activities offered to school groups, facilitating guided activities as needed, and assisting with gallery upkeep and activity coordination in the museum’s Activity Gallery.
- Prepare and gather supplies, print materials and coordinate other necessary logistical items for program set up and activities.
- Coordinate logistics of programs. Collaborate with Private Events team and outside vendors to ensure a professional experience for artists and visitors.
- Provide technical support for in-person and virtual programs which may include coordinating audio/visual needs and set up.
- Produce wayfinding, presentation, and collateral materials to promote and inform participants on programs, including materials that will be used on-site during programs.
Departmental Administrative Support:
- Draft service agreements and contracts for visiting artists and vendors and ensure they are returned on time. Process payments in a timely manner to compensate artists and vendors.
- Coordinate space needs and set up requirements to ensure effective coordination of space and logistical requirements.
- Maintain timely and accurate program statistics. Update programs data dashboards and complete program reports to provide comprehensive recaps and information.
- Complete data entry for information gathered at programs to ensure ongoing communication with attendees.
- Maintain up-to-date calendars of departmental programs.
- Maintain contact files and databases for artists, educators, and programming partners.
- Other duties as assigned.
Employment Requirements:
Background check required.
Ability to work programs on weekends and evenings.
Ability to lift and carry or otherwise move 25 pounds.
Salary: $18/hour
Preferred Qualifications:
- Demonstrated ability to work on multiple programs simultaneously; detail-oriented and highly organized.
- Experience with American Indian subject matter and knowledge of informal learning techniques of museums.
- Excellent written and verbal communication skills.
- Interest in social justice and equity.
- Experience with Customer Relationship Management software, such as Blackbaud’s Altru.
