POSITION SUMMARY


The Office Assistant will provide clerical and administrative support to the University of Arizona Press’s
Acquiring department. Some of the duties you will perform include preparing book dockets, readying final
manuscripts for release to Editing, Design, and Production, data entry, drafting paperwork and correspondence
from templates, other duties, and special projects.

CHARACTERISTIC DUTIES
Reading manuscript peer reviews, removing comments that identify the reviewer, and summarizing the key
points in short paragraphs

Drafting short book descriptions using provided materials
Finding author bios online and summarizing key information in short paragraphs
Using a checklist to organize and prepare final manuscript files for release to Editing, Design, and Producti

Logging illustrations and figures in an Excel spreadsheet
Logging and tracking third-party permissions in an Excel spreadsheet
Pulling data from the Press’s inventory management system
Inputting data into the Press’s Title Management database
For edited volumes, preparing Consent-to-Publish requests
Preparing paperwork for complimentary contributor copies
Preparing routine letter correspondence from templates
Assisting with Internet research and email correspondence as directed by Acquiring Department staff
Possible email correspondence with authors
Other duties as assigned


KNOWLEDGE, SKILLS, & ABILITIES
Duties generally of a routine nature and performed under supervision
Duties may require independent judgment and mechanical or technical abilities
Excellent interpersonal and communication skills, both written and verbal.
Strong reading comprehension and writing skills
Excellent organizational skills with an eye for detail.
Ability to work independently under minimal supervision, take initiative, use good judgment, and apply
solid analytical and problem-solving skills.
Ability to work in a highly collaborative and inclusive environment, one that values and leverages the benefits
of diverse perspectives.

MINIMUM QUALIFICATIONS
Undergraduate/graduate students with at least 6-months of work experience; or, any equivalent
combination of training and/or education approved by HR

Experience with data entry, spreadsheets, and/or Microsoft Office software


PREFERRED QUALIFICATIONS
Interest in publishing and/or the University of Arizona Press’s publishing areas.
